Terms of Service

These terms explain how you may use the Velvet 101 website and what the pages on it do and do not promise. They sit alongside the Terms and Conditions, which apply once a hiring team and Velvet 101 agree a written scope for a project.

About these terms

  1. The website is operated by Velvet 101 Godo Kaisha of Fukuoka, Japan (details on the Impressum page).
  2. By browsing the site or sending an enquiry you accept these terms. If you do not accept them, please stop using the site.
  3. The site is written for people who hire on behalf of an organisation. It is not aimed at private individuals or at job seekers.

Using the site

  1. You may read the pages, follow the links and use the enquiry forms for their intended purpose, which is asking us a question about our services.
  2. Please do not submit information that is false or that belongs to someone else, probe the site for weaknesses, or send automated or bulk messages through the forms.
  3. Do not put applicant names, CVs, interview notes or other personal data of third parties into the enquiry form. A first conversation does not need them, and the form is not a secure channel for that material.
  4. No account is needed for anything on the site. If accounts are ever introduced, separate terms will be published with them.

What the pages say, and what they do not

  1. The pages describe three services: Application Handling Setup, Interview Record Support and Hiring Process Review. They are general descriptions, not an offer that binds us on its own.
  2. Prices shown in yen are the starting point for a conversation. The price, the length of the engagement and what is included are fixed only in the written scope we send you, and whether consumption tax is included is stated there as well.
  3. Descriptions of how the services work, including their use of AI-assisted tools, describe our method. They are not a promise of any particular hiring result, a faster time to fill, or a reduction in cost for your organisation.
  4. Nothing on the site is legal advice, and nothing on it certifies that your hiring practice complies with the APPI, labour law or any other rule. Questions of that kind belong with your own legal adviser.

From enquiry to engagement

  1. An enquiry starts a conversation and nothing more. It does not create a contract and does not commit either side to anything.
  2. If a service looks like a fit, we send a written scope covering the stage of your process involved, the work, the length, the fee and how applicant data will be handled.
  3. An engagement begins only when you accept that written scope. Until then, no setup work is done on your records.
  4. Replies to enquiries normally go out within a few working days. If your question has a deadline, say so in your message.

Who the site is written for

The pages are in English and describe services provided from Fukuoka to hiring teams working in Japan. Other countries are not excluded, but we do not promise that a service can be delivered or supported outside Japan, and the written scope will say where the work can be done and in which language.

Interview Record Support and parts of the setup are carried out online, so a client does not have to be in Fukuoka.

When you write to us

Tell us what you would like to know and, if it matters, by when. Give your own name and a working email address, since that is how we reply. If you are writing on behalf of a company, say which one. We may decline to answer a message that is abusive, plainly automated, or unrelated to our work, and we keep ordinary enquiries only as the Privacy Policy describes.

Availability of the site

  1. We try to keep the site online, but it may be unavailable from time to time for maintenance or for reasons outside our control, and we may not be able to warn you in advance.
  2. We may change, add or remove pages, descriptions and prices at any time. Changes do not affect a scope that has already been accepted in writing.
  3. We may restrict access to the site if it is being misused.

Intellectual property

  1. The text, layout and other original material on this site belong to Velvet 101 Godo Kaisha unless a page says otherwise.
  2. The pictures on the site are illustrations of AI as a subject. They are not photographs of our team, our office, our clients or their records.
  3. You may view the pages and refer to them for your own business evaluation. Copying or republishing them beyond that needs our written permission.
  4. What you send us in an enquiry stays yours. We use it to answer you.

Links to other sites

If a page links to a website run by someone else, that site has its own owner and its own terms. We have no control over it and are not responsible for what it says or does.

Changes to these terms

We may revise these terms when the site or our services change. The revised version applies from the moment it appears here, and continuing to use the site afterwards means you accept it. This version was revised in October 2026.
