The Problem

Taking detailed notes while conducting an interview asks a panel member to do two things at once — listen closely to a candidate and write down enough to remember it accurately later. Something usually gives, and it is often the quality of the notes rather than the quality of attention paid.

When several interviews happen in the same week, distinguishing one candidate's answers from another's afterward becomes its own small task.

The Solution

We set up a recording and summarising step for online interviews that produces a structured record of what was discussed, organised against the questions your panel planned. Candidates are informed that a record is being made, and the resulting record is shared only with the panel involved — it does not leave that circle. Summaries produced by the AI tooling can contain mistakes, so each statement points back to what was said and panel members check it before relying on it. Where the tools store the recordings is agreed with you in writing before the trial begins.

The Experience

Setup begins with your existing evaluation form, which we use as the template for how each record is structured. A trial across five interviews follows, giving your panel a chance to see the records in practice and request adjustments before the format is finalised. We also work out a storage arrangement and note the retention period that applies to the records kept.

How results are checked

Effectiveness is measured by how closely each structured record matches what a panel member recalls of the conversation, checked during the five-interview trial. Where a record and a panel member's recollection diverge, we adjust the summarising step before moving forward.
